Terms & Conditions — Iceland Backcountry Travel (IBC Travel)

These Terms & Conditions (“Terms”) apply to all bookings, travel services, content, and use of the website www.ibctravel.is (“the Website”), operated by Iceland Backcountry Travel / IBC Travel (“IBC Travel”, “we”, “us”, or “our”). By booking a tour, using our services, or accessing the Website, you agree to be bound by these Terms.

Please read them carefully before booking or participating in any activity.

1. General Conditions

1.1 IBC Travel specializes in backcountry, off-road, and adventure travel experiences in Iceland. Such activities inherently involve risk, and participants acknowledge these risks by booking.
1.2 All participants must follow the instructions of IBC Travel guides and staff at all times.
1.3 IBC Travel reserves the right to refuse service to anyone who is deemed unfit for participation for safety reasons.

2. Booking & Payment

2.1 A booking is confirmed once full payment or an agreed deposit has been received.
2.2 Prices listed on the Website are subject to change without notice prior to confirmed booking.
2.3 All prices include VAT where applicable.
2.4 By booking, the customer confirms that all provided information is accurate.

3. Cancellations & Refunds

Cancellations by the Customer

  • More than 30 days before departure: 90% refund

  • 14–30 days before departure: 50% refund

  • Less than 14 days before departure: No refund

Cancellations by IBC Travel

IBC Travel may cancel a tour due to unsafe conditions, weather, insufficient participants, or events outside our control.

If IBC Travel cancels:

  • Customers may choose a full refund or join an alternative tour of equal value (if available).
    IBC Travel is not responsible for additional costs such as flights, hotels, or rental cars.

4. Weather & Natural Conditions in Iceland

4.1 Icelandic nature and weather are unpredictable and can change rapidly.
4.2 IBC Travel reserves the right to alter routes, itineraries, or activities for safety reasons without prior notice.
4.3 Such changes do not constitute grounds for a refund.

5. Customer Responsibilities

5.1 Participants must:

  • Be in suitable physical condition for the selected tour

  • Wear appropriate clothing and gear

  • Inform IBC Travel of any medical conditions, allergies, or limitations before departure

5.2 Customers are responsible for ensuring they arrive on time for scheduled departures. Late arrivals are not eligible for refund.

6. Liability & Assumption of Risk

6.1 Participation in backcountry and adventure travel involves inherent risks, including but not limited to:

  • Difficult terrain

  • Extreme weather

  • Remote rescue conditions

  • Avalanches, rivers, geothermal areas, and natural hazards

6.2 By joining an IBC Travel tour, the customer acknowledges and accepts all such risks.
6.3 IBC Travel is not liable for injuries, losses, or damages arising from:

  • Acts of nature

  • Personal negligence or lack of preparation

  • Failure to follow guide instructions

  • Accidents or incidents outside IBC Travel’s control

7. Insurance

7.1 Travel insurance is strongly recommended and may be required for certain tours.
7.2 Insurance should cover medical expenses, evacuation, accidents, cancellations, and personal belongings.
7.3 Customers who participate without adequate insurance do so entirely at their own risk.

8. Equipment & Gear

8.1 IBC Travel may provide specialized equipment when specified (e.g., safety gear).
8.2 Customers are responsible for personal equipment and ensuring it is in good working condition.
8.3 Any damage to IBC Travel equipment caused by negligence may result in additional charges.

9. Transportation

9.1 Off-road and mountain driving in Iceland can be challenging.
9.2 IBC Travel and its guides will choose safe routes according to conditions.
9.3 Seat belts must be worn at all times during transport.

10. Website Use & Privacy

10.1 The content on www.ibctravel.is is for general information and may change without notice.
10.2 All text, images, branding, and content are the property of IBC Travel unless otherwise noted.
10.3 Personal data is handled according to Icelandic privacy regulations and the GDPR.
10.4 IBC Travel does not share personal information with third parties except where required to fulfill bookings.

11. Force Majeure

IBC Travel is not liable for cancellations, delays, or service changes caused by events beyond our control, including but not limited to:

  • Extreme weather

  • Natural disasters

  • Strikes

  • Civil unrest

  • Government restrictions

12. Governing Law

These Terms are governed by Icelandic law.
Any disputes shall be resolved in the District Court of Iceland (Héraðsdómur Íslands), unless otherwise required by mandatory consumer protection laws.
